Privacy Policy

How the MHC Transaction Tracker app collects, uses, and protects your information. Effective from June 2026.

Who we are

MHC Accountants Ltd is responsible for your personal data in this app. You can contact us about privacy at any time.

What we collect

The app holds a small amount of information about you so it can run your account and store your records.

Your account

  • Your email address, used as your login and to activate your account.
  • A password, stored securely so no one can read it — not even us.
  • Whether your account is active, and when it was created.
  • Tags that help your accountant tailor the app to your type of business.

Your transactions

  • Each income or expense you log stores the type, the name of the person or business, the amount, a short description, how you paid, and the date and time.

Basic technical details

  • When you log in, we keep you signed in securely on your own device.
  • If something goes wrong, the app sends an automatic error report so we can fix it. This may include your device type, operating system, app version, and what the app was doing just before the error. We do not attach your IP address.

What we don't collect

  • We don't access your camera, microphone, contacts, location, photos, or files. The app does not request those permissions, and it does not include any advertising or analytics tools.
  • We never collect card numbers. We only record how you paid (for example, "credit card").

How we use your data

  • To set up and run your account and keep you signed in.
  • To let you record, edit, and review your transactions.
  • To let your accountant view your transactions, export them, and manage your account if needed.
  • To send you service emails, such as account activation.
  • To find and fix problems through error reports.

Who can see your data

  • You can see your own account and transactions.
  • Your accountant and our staff can see all users and transactions, export data, manage account status, and reset passwords through the staff portal.
  • Our system administrators have full access for maintenance and support.

We do not sell your data, and we do not share it with advertising or marketing networks.

Who we share data with

  • Brevo sends our account-activation emails. It processes the email address we send to. Brevo is based in the EU.
  • Our hosting provider runs the app and stores its data. It is self-hosted by us.
  • Our error tracking tool, also self-hosted, receives the error reports described above.
  • Apple App Store and Google Play distribute the app. Their own policies apply when you download it.

International transfers

  • Some of our providers, such as Brevo, may handle data outside the UK. When that happens, we make sure your data is protected by recognised safeguards, such as standard contractual clauses or equivalent protection.

How long we keep your data

  • Transactions: six years from the end of the tax year they relate to, as required for UK tax and accounting records. We then delete them.
  • Inactive accounts: if you stop using the app, we'll delete your account after 12 months of inactivity. We'll email you first.
  • Error reports: deleted after 90 days.
  • When you delete your account, your data is deleted with it.

Your rights

Under UK data protection law you have the right to:

  • be informed about how your data is used
  • access the data we hold about you
  • have inaccurate data corrected
  • have your data deleted
  • restrict or object to how we use your data
  • receive a copy of your data in a portable format

We do not use automated decision-making or profiling. To use any of these rights, email info@mhcaccountant.co.uk.

Security

  • We protect your data with measures including securely stored passwords, encrypted connections, restricted staff access, limits on repeated login attempts, and checks on the information you enter. Sign-in details are kept in your device's secure storage, not in plain text.

Children

  • This service is not for anyone under 18. We don't knowingly collect data from children. If you think a child has registered, contact us and we'll delete the account.

Changes to this policy

  • We may update this policy from time to time. If we make a significant change, we'll let you know by email or in the app before it takes effect. The date at the top of this page shows when it was last updated.
